Judge Administrator

One place to set up each competition — everything here feeds the Member Site, Judge Portal, and Critique Presentation automatically. Module Access by Role (who can open each area) moved to Membership → Admin Tools, alongside the rest of the club's one-time role/setup options.

Current Competition Setup covers this specific competition (setup, judge roster, judging progress). Competition Admin Setups covers the club's more global, infrequently-changed settings (categories, submission requirements, scoring scale, display, and results options).

Competition & Judging

Competition Setup

Members can only submit during "Member submission." Judges can only score during "Judging in progress" — "Judging complete" locks all judges from further changes without publishing results yet. Closing reveals results on the Member Site and in My Results — applies immediately. (In the real product, the deadline set above would move this from submission to judging automatically; for now, move it yourself when you're ready.)

Entry Categories

Order here sets the order photos appear on the Event Screen. Unscored categories get a critique only — judges never see them. Each category has its own entry cap and, if scored, its own Photographer of the Year settings — so adding a category mid-season doesn't inherit numbers meant for another one.

Changes here apply as soon as you edit a row — no separate save needed. "Counts for POTY" controls whether a category feeds the Photographer of the Year standings below. Use "Archive" instead of deleting — it hides a category from new entries but keeps all its data and history intact; archived categories can be restored any time.

Photo Submission Requirements

When on, a member's upload is checked right on Submit an Entry — if it doesn't meet these limits, they're told specifically what's wrong (too large/small a file, or the wrong pixel dimensions) so they can fix it before submitting. The longest edge is whichever side of the photo is bigger, so every photo displays a consistent size on the presentation screen.

Off — submissions aren't checked, any file goes through.

Photo title is always required on Submit an Entry. Caption is optional unless this is on — then a member has to fill in both before they can submit.

Judge Roster

Anyone tagged with the "Judge" role in Membership shows up here automatically, with their email already on file for sign-in and the reminder below.

Judges assigned to this competition (max 3)

Leave this blank and every member tagged "Judge" above judges this competition, same as before — the cap only applies once you assign judges here. Guest judges (below) count toward the cap of 3. Swapping someone out who already scored will ask whether to keep their scores in the final results.

Manage full roster (add or remove who's tagged Judge)

Untagging someone here removes them entirely from ever being assignable as a judge — same as unchecking "Judge" for them under Membership. Handy from here if you have Judge Administrator access but not Membership.

Guest judges (not club members)

Opens a pre-filled email in your own mail app — nothing is sent automatically, and no judge data leaves your computer. Review it and hit send yourself, same as any other club email.

Judging Progress

Each judge's status per category — Complete, In Process, or Not Started — pulled from the real shared database, so this reflects scoring from any judge's own device, not just this browser. Refreshes automatically when you sign in; hit Refresh below to pull the latest without reloading the page.

Judge Scoring Scale

Sets the range judges score each criterion on (Impact, Composition, Technical Quality) in the Judge Portal. Applies immediately. This club's default: 1–9 in half-point steps per criterion, shown to the room as a 27-point total (up to 9 each for Impact, Composition, and Technical) — set under "My Results Visibility" → Overall score display.

Member Experience & Results

Projector Window Display

Controls what the room sees on the actual Projector Window when a judge score is revealed. Applies immediately. The Presenter's own control screen always shows full detail regardless of these settings — this only affects what gets projected.

Off by default. The Presenter's own screen always shows this either way.

"Low to high" needs scores on file to sort by — unscored entries are shown first within their category.

Judges' individual scores are always recorded in full for variance tracking, regardless of what's shown on screen.

Member Name Visibility

Controls whether members get the option to opt out of having their name shown when their photo is presented on the Event Screen. Off by default — names are simply shown as usual, with no option offered.

When off, the option doesn't appear on Submit an Entry, and every name is shown normally. When on, members see a checkbox to keep their entry anonymous, and each member's choice is honored on the Event Screen.

My Results Visibility

Controls what a member sees for their own scored entries under "My Results" — separate from the Event Screen setting above. Applies immediately.

The AI strength/growth critique is always shown either way — this only affects the numeric judge breakdown.

Cosmetic only — ranking, ties, and ribbons always use the same underlying score either way. This just changes how the number is displayed to viewers.

On by default so a new club evaluating the app sees a fully populated demo. This only affects Past Competitions (prior seasons) — it does NOT hide the sample photos in your CURRENT competition. Use the switch below for those.

On by default so testers have sample photos to score and present against while practicing the submit → judge → results flow. Turn this OFF once your club is running its first fully real competition — Judge Portal, Critique Presentation, My Results, and Photographer of the Year will then show ONLY real submitted entries. Real entries are never affected by this — nothing a member actually submits is ever hidden.

Photographer of the Year

One award per eligible scored category. "Minimum contests to qualify" and "Best scores counted" are now set per category — see each scored category's row under Entry Categories. Applies immediately.

Optional — some clubs like members comparing entries side by side, others prefer to keep it to standings only.

Ribbon Awards (per-meeting ribbons, tallied across the season)

Each closed competition's top scored entries in every category earn ribbons. Build your own set of ribbon tiers below — name each one, set how many are awarded per category per competition, and (if using points) what each is worth. If two entries tie in score, they share the same ribbon and the next entry skips ahead by the size of the tie. This runs alongside the best-scores standings above, not instead of it.

Confirmed with Joe, Aug 23: 1 point for every entry that's scored, even if it doesn't win a ribbon — added on top of the ribbon's own points. Set to 0 to turn off.

Ribbon Name# AwardedPoints

Changes apply immediately to the Ribbon Standings and photo badges on the member-facing Photographer of the Year page. Use ▲/▼ to set award order (best tier first) — the Points column only matters when the tally method above is Points.

Ribbon Minimum-Floor Rule (optional)

Off by default. Turn this on if a category with only a couple of entries shouldn't hand out a full set of ribbons. This is a settings shell — the numbers below are placeholders, not a real rule yet; the actual scaling is still waiting on Joe's backtest against last year's data. Once that lands, come back and set the real numbers (or leave it off — it's optional, other clubs using this app may not want it at all).

Beginner Division Graduation (optional, settings shell)

Off by default. Flags on the Photographer of the Year board when a member in your beginner category (e.g. Apprentice) has met a club-chosen threshold — informational only, doesn't stop anyone from entering. Pick whichever metric fits how your club wants to run it; this is deliberately flexible so it's not tied to one club's specific rule.

Human vs AI Judge Analysis

How the AI Judge tracks your human judges, broken out by Impact, Composition, and Technical Quality — across every scored entry on record. Use this to gauge how much to trust or weight AI scoring before leaning on it.

AI scores shown here are the real AI Judge score (from Gemini) whenever an entry has one. Older entries scored before AI Judge existed show an estimated stand-in instead, so this chart still has something to compare.

Member Feedback

Members can send feedback from a "💬 Feedback" button on the Member Site. Each submission opens their email app addressed to the recipient below (they still have to hit Send there — this doesn't email anyone automatically on its own), and also lands in the log here so you can see it without checking email.

Saved to the database — this log persists across reloads and devices. Click "Mark Handled" once you've dealt with an item to clear it off this list — nothing is deleted, it just moves below.

Everything on the Member Site's Club Schedule, Club Life, Resources, and Learning tabs. Add, edit, reorder, hide, or remove items — changes show up right away, no code change needed. Each tab can also be switched off entirely below if this club doesn't want to use it. The CritiquePrep Competition and CritiquePrep Creative cards in Resources aren't managed here.
